Position Summary:
The Executive Assistant will play a critical role in ensuring the smooth operation of the dental practice by providing high-level administrative support. This hybrid position involves performing various administrative tasks, managing schedules, facilitating communication, and assisting with patient relations. The ideal candidate will have a strong background in dental administration, excellent communication skills, and the ability to work both independently and collaboratively.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the dental executives, including managing calendars, scheduling appointments, and coordinating meetings.
- Patient Relations: Assist in managing patient inquiries and concerns, ensuring a high level of customer service and satisfaction.
- Documentation Management: Maintain accurate and organized patient records, including handling confidential information in compliance with HIPAA regulations.
- Financial Administration: Assist with billing, insurance claims, and payment processing, ensuring timely and accurate financial transactions.
- Office Coordination: Oversee the day-to-day operations of the dental office, including managing supplies, equipment, and vendor relationships.
- Communication: Serve as a liaison between the executive team, staff, and patients, facilitating effective communication and collaboration.
- Project Management: Assist in the planning and execution of special projects and initiatives to improve office efficiency and patient care.
- Compliance: Ensure that all practices adhere to regulatory and safety standards in the dental industry.
Qualifications:
- High school diploma required; associate’s or bachelor’s degree in business administration or a related field preferred.
- Minimum of 1 years of experience as an executive assistant, preferably in a dental or healthcare setting.
- Proficient in dental practice management software and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent written and verbal communication skills.
- Knowledge of dental terminology and procedures is a plus.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team in a hybrid work environment.
